Configure modules in the right order
Searchable setup tasks and readiness checks across 20 guide areas
Use this task directory after choosing your route in the business setup map. It covers all 20 guide areas, including optional functions. Each task states what to prepare, where to read the exact fields, the expected outcome and how to stop safely when a prerequisite is missing.
The Tenant Administrator coordinates access within the subscription workspace. The accountant owns the approved accounting design; operational owners confirm their processes. Availability depends on subscription, role, country and company/location access. A business model does not grant permissions or configure a module automatically.
Use the dependency order
- Confirm context, company/currency/locations and least-privilege access.
- Prepare reporting/posting accounts, GL controls, applicable tax and bank mappings.
- Prepare partner and item defaults, stock locations and the relevant operational policies.
- Configure approval policy, groups, rules and eligible membership before routine document entry.
- Add production, POS, assets, payroll or country functions only when required by activities.
- Agree migration, opening balances, reports, reconciliation and correction responsibilities before cutover.
These are dependency groups, not a request to enable all modules. Set the applicable tasks and owners in your own implementation record. A master saved successfully is not proof that its later financial workflow completed.
Choose the company and working context
Confirm Current Company, then the location on each document. Review navigation and personal shortcuts; do not use a shortcut as evidence of access.
- Review the existing company records and authorised design before adding or editing setup. Use choose the company and working context fields and procedures for exact navigation and controls.
- Have the authorised owner make only intended changes, save once and reopen the existing saved record to compare values. Read permission, country and state conditions before proceeding.
- Confirm the outcome: The intended company and permitted location are visible.
If something is wrong: If the context is wrong, leave unsaved entry and select the intended company before proceeding.
Set up the company and secondary locations
Agree functional currency before company creation. Select a starter chart once, review its preview, enter the primary location, then create authorised secondary locations only where needed.
- Review the existing company records and authorised design before adding or editing setup. Use set up the company and secondary locations fields and procedures for exact navigation and controls.
- Have the authorised owner make only intended changes, save once and reopen the existing saved record to compare values. Read permission, country and state conditions before proceeding.
- Confirm the outcome: The company, primary location, chart and intended secondary locations exist with the correct identities.
If something is wrong: Functional currency is locked after creation; do not create a replacement company or duplicate opening balances to bypass it.
Set up users and company and location access
Create the colleague through authorised administration. In Manage Access review Role, Module Permissions, applicable Company Access and Location Access, approval memberships and Summary before Update Access.
- Review the existing company records and authorised design before adding or editing setup. Use set up users and company and location access fields and procedures for exact navigation and controls.
- Have the authorised owner make only intended changes, save once and reopen the existing saved record to compare values. Read permission, country and state conditions before proceeding.
- Confirm the outcome: The saved user can perform intended actions and cannot access excluded company/location examples.
If something is wrong: A blank scope is not guaranteed deny-all. Resolve effective permissions before entering private or financial records.
Set up accounts and GL posting controls
Review reporting groups, reporting accounts, posting sub-accounts and Chart of Account combinations. Review GL Setup mappings and precision, then dated Forex Conversion rows if needed. Configure manual journal approval before routine journal entry.
- Review the existing company records and authorised design before adding or editing setup. Use set up accounts and gl posting controls fields and procedures for exact navigation and controls.
- Have the authorised owner make only intended changes, save once and reopen the existing saved record to compare values. Read permission, country and state conditions before proceeding.
- Confirm the outcome: Approved account combinations and seven GL mappings are saved; FX direction/dates and manual-journal policy are understood.
If something is wrong: Keep system-maintained accounts protected. Do not change account classification or mappings merely to force a transaction through.
Set up cash and bank accounts and reconciliation
Review company bank identity, currency, permitted locations and GL/prepayment mappings. Reopen the saved account before planning statement opening balance, cutoff and matching.
- Review the existing company records and authorised design before adding or editing setup. Use set up cash and bank accounts and reconciliation fields and procedures for exact navigation and controls.
- Have the authorised owner make only intended changes, save once and reopen the existing saved record to compare values. Read permission, country and state conditions before proceeding.
- Confirm the outcome: The bank master points to the intended ledger combinations and a statement-to-book reconciliation basis is agreed.
If something is wrong: A vendor bank reference is not a company posting account. Never upload a statement twice to resolve a slow screen.
Set up customers and sales defaults
Maintain customer-capable trading partners, receivable account, terms, credit and separate customer tax defaults. Prepare service or stock items and sales prices as applicable before quotes, orders or invoices.
- Review the existing company records and authorised design before adding or editing setup. Use set up customers and sales defaults fields and procedures for exact navigation and controls.
- Have the authorised owner make only intended changes, save once and reopen the existing saved record to compare values. Read permission, country and state conditions before proceeding.
- Confirm the outcome: A sample customer and item resolve the intended accounts, terms, currency and tax on new entry.
If something is wrong: A receipt is not automatically an invoice application. Review allocations and residual balances separately.
Set up vendors and purchasing policies
Maintain vendor-capable partners and payable defaults. Save Purchasing Setup for each relevant location with matching policy, receipt flow, tolerances and GRNI/variance mappings; then configure PO approval.
- Review the existing company records and authorised design before adding or editing setup. Use set up vendors and purchasing policies fields and procedures for exact navigation and controls.
- Have the authorised owner make only intended changes, save once and reopen the existing saved record to compare values. Read permission, country and state conditions before proceeding.
- Confirm the outcome: Each location has an agreed one-step or two-step route and authorised approval coverage.
If something is wrong: Review item purchasing overrides too; they can replace location policy. Do not receive the same goods through both routes.
Set up items and warehouses and stock policies
Prepare classifications, item/posting groups and Inventory Setup mappings/policies. Create warehouses and required bins, then items with base UOM, costing and applicable lot/serial/expiry tracking.
- Review the existing company records and authorised design before adding or editing setup. Use set up items and warehouses and stock policies fields and procedures for exact navigation and controls.
- Have the authorised owner make only intended changes, save once and reopen the existing saved record to compare values. Read permission, country and state conditions before proceeding.
- Confirm the outcome: Stocked item, warehouse, bin and tracking choices work together with the intended valuation mappings.
If something is wrong: Agree tracking and costing before history. Do not use a GL-only entry to create quantities, serials or stock value.
Set up manufacturing and production costing
After stock setup, review Production Setup WIP/loss/gain mappings and finished warehouse. Prepare Overhead Master, then versioned Formulas with materials, output roles and allocation basis.
- Review the existing company records and authorised design before adding or editing setup. Use set up manufacturing and production costing fields and procedures for exact navigation and controls.
- Have the authorised owner make only intended changes, save once and reopen the existing saved record to compare values. Read permission, country and state conditions before proceeding.
- Confirm the outcome: A supported formula and approved mappings describe how materials, overheads and completed outputs will be valued.
If something is wrong: A transfer is not manufacturing completion. Investigate WIP and output differences before reversing dependent batches.
Set up a POS terminal and tender destinations
Prepare items, tax, stock and approved cash/card destinations. Review POS Terminals company/location/warehouse/customer, mixed tender, tracking and receipt settings before opening the first session.
- Review the existing company records and authorised design before adding or editing setup. Use set up a pos terminal and tender destinations fields and procedures for exact navigation and controls.
- Have the authorised owner make only intended changes, save once and reopen the existing saved record to compare values. Read permission, country and state conditions before proceeding.
- Confirm the outcome: The terminal resolves the intended inventory, customer, tenders and printing configuration.
If something is wrong: Printing, card authorisation and fiscal acceptance are separate. Resolve country requirements before live checkout.
Set up asset accounting and categories
Review Asset Setup commencement, CWIP and disposal mappings. Prepare Asset Categories with gross cost, accumulated depreciation, expense and method/life/rate; use Asset Groups for organisation.
- Review the existing company records and authorised design before adding or editing setup. Use set up asset accounting and categories fields and procedures for exact navigation and controls.
- Have the authorised owner make only intended changes, save once and reopen the existing saved record to compare values. Read permission, country and state conditions before proceeding.
- Confirm the outcome: Each asset category has approved mappings and an agreed acquisition/opening/capitalisation route.
If something is wrong: Load a cost once. An asset master alone is not proof of acquisition posting or depreciation.
Set up HR and payroll policies
Review HRMS Setup, payroll tax, earnings, deductions and funds. Prepare employee identity and banking, effective compensation, assignments, calendars and applicable attendance policies before a payroll run.
- Review the existing company records and authorised design before adding or editing setup. Use set up hr and payroll policies fields and procedures for exact navigation and controls.
- Have the authorised owner make only intended changes, save once and reopen the existing saved record to compare values. Read permission, country and state conditions before proceeding.
- Confirm the outcome: Approved effective-dated employee inputs and payroll destinations are ready for the intended period.
If something is wrong: Keep payroll private; an employee master is not an application login. Paid can still require checking payment/application balances.
Set up tax codes and customer and vendor defaults
Agree jurisdiction and recognition policy. Review Tax Codes and lines including nature, percentage, rank, Applied To, Exclude Base and mappings; maintain customer and vendor defaults separately.
- Review the existing company records and authorised design before adding or editing setup. Use set up tax codes and customer and vendor defaults fields and procedures for exact navigation and controls.
- Have the authorised owner make only intended changes, save once and reopen the existing saved record to compare values. Read permission, country and state conditions before proceeding.
- Confirm the outcome: A representative new sale and purchase use the intended tax basis, timing, amounts and posting destinations.
If something is wrong: Do not copy a tax percentage as legal advice or treat withholding as a second added tax. Review invoice versus settlement timing.
Set up country profiles and electronic invoicing
Confirm the supported country/document route and authorised fiscal duties. Review company/party profiles and classification, then approved connection environment and credentials through the relevant permitted screens.
- Review the existing company records and authorised design before adding or editing setup. Use set up country profiles and electronic invoicing fields and procedures for exact navigation and controls.
- Have the authorised owner make only intended changes, save once and reopen the existing saved record to compare values. Read permission, country and state conditions before proceeding.
- Confirm the outcome: Country identity, document classification and the intended test/live environment are agreed before fiscal use.
If something is wrong: Protect secrets. Export, validation and transport success do not establish authority acceptance; do not send a live request as a setup check.
Set up report access and reporting filters
Agree the business question, company/location access, date basis and currency. Review the chosen report parameters, and publication/access for any authorised user-defined report.
- Review the existing company records and authorised design before adding or editing setup. Use set up report access and reporting filters fields and procedures for exact navigation and controls.
- Have the authorised owner make only intended changes, save once and reopen the existing saved record to compare values. Read permission, country and state conditions before proceeding.
- Confirm the outcome: Users can find the intended report and interpret its scope and completed output.
If something is wrong: Not every Reporting Center job is read-only. AR Auto-Apply Unapplied Receipts can allocate records outside preview.
Set up Balance Sheet Review responsibilities
Agree account scope and cutoff. Prepare the appropriate review profiles, responsibilities and schedules; select supporting evidence and an independent reviewer before completing the review.
- Review the existing company records and authorised design before adding or editing setup. Use set up balance sheet review responsibilities fields and procedures for exact navigation and controls.
- Have the authorised owner make only intended changes, save once and reopen the existing saved record to compare values. Read permission, country and state conditions before proceeding.
- Confirm the outcome: Preparer/reviewer responsibilities and the required account schedules are clear for the period.
If something is wrong: A completed review is not a correcting entry or automatic period close. Investigate differences at source.
Set up approval rules and approver membership
Agree authority limits and independent duties, create the appropriate active group and rules, assign eligible users and verify the policy switch. Follow the journal or PO procedure for its exact scope.
- Review the existing company records and authorised design before adding or editing setup. Use set up approval rules and approver membership fields and procedures for exact navigation and controls.
- Have the authorised owner make only intended changes, save once and reopen the existing saved record to compare values. Read permission, country and state conditions before proceeding.
- Confirm the outcome: A representative amount/currency/location routes to the intended authorised reviewer, including boundaries.
If something is wrong: Journal and PO matrices are separate. Do not assume sequential multi-level approval or a single universal approval switch.
Set up trading partners and trade references
Set Customer, Vendor or Both according to the relationship and review each side separately. Where used, agree trade-reference identity, flow, jurisdiction, type, currency and party before entering utilisation.
- Review the existing company records and authorised design before adding or editing setup. Use set up trading partners and trade references fields and procedures for exact navigation and controls.
- Have the authorised owner make only intended changes, save once and reopen the existing saved record to compare values. Read permission, country and state conditions before proceeding.
- Confirm the outcome: The intended party capability and reference can be identified without duplicate external/internal identities.
If something is wrong: If a duplicate save gives a page error, search for the original before retrying; never create a near-duplicate reference as recovery.
Prepare imports and supporting documents
Use the current module template and its exact column reference. Agree identifiers, dates, units, AUTO/NONE/CODE tax intent and duplicate checks; validate and inspect preview before an authorised commit.
- Review the existing company records and authorised design before adding or editing setup. Use prepare imports and supporting documents fields and procedures for exact navigation and controls.
- Have the authorised owner make only intended changes, save once and reopen the existing saved record to compare values. Read permission, country and state conditions before proceeding.
- Confirm the outcome: The proposed rows and source documents can be traced to the intended records without exposing secrets.
If something is wrong: Commit is a write, not a preview. Check existing results after an error before retrying; a local upload is not fiscal submission.
Prepare partner portal access and statements
Confirm that the feature is offered to this subscription and arrange authorised partner access. Give the contact the organisation-supplied portal address and explain identity, account selection and statement filters.
- Review the existing company records and authorised design before adding or editing setup. Use prepare partner portal access and statements fields and procedures for exact navigation and controls.
- Have the authorised owner make only intended changes, save once and reopen the existing saved record to compare values. Read permission, country and state conditions before proceeding.
- Confirm the outcome: The intended external contact can identify only the authorised relationship and understand the displayed scope.
If something is wrong: Do not promise access from the business model. Never share another contact's login code or expose unrelated account statements.
Confirm readiness and preserve evidence
Record each applicable task's responsible owner, approved values, saved identity and representative outcome in your company's implementation record. Use ordinary operational users for access and routing checks; an administrator-only demonstration does not establish least privilege. Retain a controlled opening balance and reconciliation pack before cutover.
After a configuration change, reopen affected screens and check new documents without assuming old records were recalculated. For a save error, inspect the existing record before retrying. For a posted or dependent transaction, use its supported correction route and recheck the resulting reports; do not erase history or duplicate the source.
Continue with journal and PO approval setup, the business setup map or the workflow handbook.
